Case Study Junk Galaxy · Knoxville, TN

Every lead gets caught now — day, night, and weekends.

Junk Galaxy is a growing Knoxville junk-removal company. Leads came in fast across calls, texts, and web forms — and some slipped through when the crew was out on a job. I built the intake, response, and reporting systems that make sure they don't.

The Situation

A fast-growing crew can't also be a 24/7 answering service.

Junk removal is a speed game. The first company to reply usually wins the job — a response inside a minute converts far better than one that comes an hour later. But Junk Galaxy's leads arrive across three channels at once — phone calls, text messages, and web forms — often while the whole team is out on a haul.

The gap wasn't effort. It was coverage. Missed calls, overnight web forms, and texts that piled up during a job were the leads most likely to go cold before anyone could get back to them. Every one of those was paid marketing spend walking to a competitor.

What I Built

Five systems that catch, answer, act on, and report on every lead.

📞

Maddie — AI ReceptionistVoice + messaging agent

Answers calls and texts around the clock, qualifies the job, captures the customer's details, and hands a clean, ready-to-book lead to the team — so nothing rings out to voicemail.

Instant Lead Intake + ReplySpeed-to-lead automation

Every web form, text, and inbound lead triggers an immediate reply and gets logged in one place. No lead sits unread while the crew is mid-haul — the customer hears back in seconds, not hours.

Overnight Lead DigestMorning dispatch briefing

A 7:45am text, Monday through Friday, listing every lead that came in overnight — so the dispatcher starts the day knowing exactly who to call first, before the phones even open.

Dump-Fee TrackerOps + cost reporting tool

A per-truck check-in form the crews fill after each dump run — with receipt-photo reading — that rolls up into a 5pm summary text to the owner. Turns a shoebox of receipts into a daily cost number.

Email Triage + AlertsInbox automation + notifications

Automatically reads, sorts, and labels incoming email, and fires an instant SMS the moment a customer approves an estimate — so a green-lit job never sits unseen in a busy inbox.

What Moved

Capture is solved. The next dollar is in the close.

  • Zero leads lost to coverage. Calls, texts, and overnight web forms are now caught and answered automatically — whether or not the crew is free.
  • 22.9% lead-to-job conversion all-time (28.6% in the best month) against a 3–5% industry baseline — the intake systems keep the top of the funnel full.
  • Approved estimates get acted on the moment they land. When a customer says yes, an SMS fires instantly — no green-lit job sitting unread in an inbox.
  • The owner's day got quieter. A morning lead briefing and an automated 5pm cost summary replaced manual check-ins and receipt-chasing.

"Capture works — the leak now is closing."

With intake and response handled, the leads that don't convert aren't slipping through the cracks anymore — they're reaching a person. That points the next build clearly: faster follow-up and re-engagement on the leads the receptionist already captured, so more of them turn into booked jobs.

Leads slipping through while you're on the job?

That's the exact problem these systems solve. Tell me how your leads come in and where things break down — I'll design a system that catches them.
